Roles - What we all do

 

Each Toastmaster meeting has many contributors each with a particular task.

For the meeting to run smoothly it is useful to know what is expected of each role.

 

President


The president leads the club, and is our representative outside the club.

 

Vice President Education


The Vice President Education is in charge of the club development programme and draws up the Agendas. The mentor programme is also the responsibility of the VPE.

 

Toastmaster of the Evening
 
The Toastmaster of the Evening chairs the meeting following the programme set by the VPE.

 

Table Topics Master

The Table Topics Master sets the series of impromptu speeches and invites members to speak for one to two minutes on a given topic.

 

General Evaluator

 

The General Evaluator monitors the progress of the entire meeting and provides feedback on it.

 

Timekeeper


The Timekeeper times each speech, and indicates the passage of time with lights.

 

Grammarian

 

The Grammarian notes the good (and bad) usage of language and reports on it at the end of the meeting.




Club Officers- What we all do

 

Each Toastmaster club has a number of officers, who make up the Committee,each with a particular task. The committee will usually meet about 6 times a year.

They are vital for the club to run effectively. They are elected by the members from the members to serve for a 12 month period starting in July each year. It is useful for all members to know what the function of each role is.

 

President


The president or leader of the club the key functions are:

To give overall direction to the club

To open and close meetings, conduct any business sections and present awards

Enable and assist other officers to carry out their duties

Be our representative outside the club.

 

Vice President Education (VPE)


The Vice President Education is in charge of the club development programme, the key functions are:,

Setting the agendas for meetings.

Assigning roles and organising speakers and evaluators.

Recording educational progress.

Notification of educational achievements to Toastmasters International.

The assigning of mentors and overseeing the club mentor programme.

Standing in for the President if he is nat able to attend a meeting.

 

 

Vice President Publicity (VPP)
 
Generates publicity to attract guests the key functions are:
Ensuring all media are utilised to give publicity to the clubs activities.
Advising relevant media of special events and achievements.

 

Vice President Membership (VPM)


 

Helps guests to become members and acts as pastoral guide for members the key functions are:

Meeting and greeting guests.

Explanation to guests of how the club works and relavent costs.

Ensuring supply of membership forms and assisting in completion.

Acting as conduit for members opinions to the committee

 

Secretary

 

Records everything, the key functions are:

Arranging committee meetings.

Recording and distributing meeting minutes.

Co-ordinating social events.

Co-ordinating area and division events where the club is hosting.

 

 

Treasurer


Controls the finances of the club, the key functions are:

Record and report on club finances.

Ensure dues are paid to and by the club.

Deals with banking issues.

 

Sergeant at Arms

 

The organiser, the key functions are:

Ensuring the booking and laying out the venue and the clearing up after meetings.

Ensuring all supplies needed are obtained.
